Pencil List Stopped Working

Overview

Pencil Lists will occasionally fail to be updated, or a select few of the reports in the Pencil List will fail to update.

What is a Pencil List?

Pencil Lists are used by Residence Directors to track constantly changing housing information.  A PDF report is created for each Residence Hall or Apartment that includes suite and room information along with student information and contract statuses.  All of the reports are contained in a Report Queue named Pencil List.

The Pencil List Report Queue is run by the Odyssey Task Scheduler and is scheduled to run every 15 minutes.  The Task is named Pencil Lists and the Task Handler is Server Console (9001).  The reports are created in following folders: \\red\Residence Life\Housing Information\Beckett Hall East\Beckett Hall East Pencil List.pdf for example.

Resolution

  1. No Pencil reports run.
    1. Open Odyssey select Tasks from the menu located on the left side.
    2. Near the top of the page there will be a drop down list. Select Show Current Tasks.
    3. Click on Task - Pencil Lists to view its schedule information, it will be displayed in the lower section of the screen.
    4. Verify that the Task Enabled check box is checked.
    5. Verify that the Next Run date and time is later than the Last Run date and time.
    6. Contact the System Administration team to confirm that the Odyssey Task Handler service is started on ammolite.
    7. There might have been a change made to the first Pencil List report that is preventing the rest of the reports from updating.
  2. Some of the Pencil reports ran.
    1. Open Odyssey select Tasks from the menu located on the left side.
    2. Near the top of the page there will be a drop down list. Select Show Current Tasks.
    3. Click on Task - Pencil Lists to view its schedule information, it will be displayed in the lower section of the screen.
    4. If not selected - select the General Tab.
    5. Next to the Report Queue Pencil List click the Edit button. This will provide you with the order that the reports will be executed. Click Cancel to close.
    6. In the order of the listed reports find the first report that failed to update. There is usually an issue with this report.
  3. Possibe Report Issues
    1. The file path was   incorrectly entered.
    2. The Show Print Preview is checked.
      1. If this box is checked the report will not write out to the file.
