Procedures for Live Streaming an event in the Globe

Overview

When an event occurs in the Barnes Student Center's Globe Theater, and live streaming service has been requested, the following procedure should be followed. This request should originate from Event and Conference Services, who confirms the availability of space, labor, and responsible departments.

Procedures

Steps Responsible Parties
Schedule the room ECS
Request unlock and lockup services ECS
Turn on lights ECS, IMT, or frequent guests who are familiar with light controls
Connect a laptop at the podium, turn on projector and use podium microphone Anyone who is shown how to follow these simple steps
Use the desktop PC in the podium, to conduct a Zoom meeting Anyone who is shown how to follow these simple steps
Steps that require a technician to be present Responsible Parties
Provide a copy of slideshow or video clips on a flash drive to technician Presenter or Event coordinator; IMT technician
Load copy of slideshow or video clips to streaming PC in projection booth IMT
Add external monitor and set Zoom to use two displays. keep mouse pointer off of preview monitor IMT
Test slideshow, make sure words are legible IMT
Test wireless mics and house sound system (replace batteries, set levels) IMT
Test USB peripherals (clicker, wireless keyboard w/trackpad, webcam) IMT
Start Zoom Practice mode: include another person who can enter as a panelist or co-host IMT, someone else with a device and Zoom account
Open Zoom webinar and test (wireless) mics and speaker level (in headphones) IMT
Test camera control, set default (home) position, become familiar with subtle camera adjustments IMT
Test Zoom's screen share using Power Point or video clip IMT
Test Zoom link; include another person who can simulate an attendee (not a panelist) IMT, someone else with a device and Zoom account
Set desired View (Speaker or Gallery) and accessibility for attendees IMT
Meet with speaker(s) to verify expectations. Help them test microphone and clicker. IMT and/or SL&M
Start Broadcasting. Start Recording. Verify attendees can access webinar IMT, someone else with a device and Zoom account
After the event, stop the recording, end the webinar, and send recorded link to event coordinator or speaker. IMT
Return borrowed USB drive, retrieve clicker. Presenter or Event coordinator; IMT technician; SL&M
Strike AV equipment (turn off, put away) IMT and/or SL&M

 

 

Considerations

Academic events occurring in this space are generally held to be accommodated by IMT.

SL&M may need to be consulted for certain components of the system, such as the movie-streaming playback equipment, or the surround sound processor.
