Sharing your screen in Teams


If sharing a Power Point presentation:

a.     Do you have audio or video included in your slideshow?

                                               i.     If yes, you have audio or video in your slideshow, then follow step b.

                                             ii.     If no, you do not have audio or video in your slideshow, follow step c.

b.     Open the Power Point (PPT) app,

                                               i.     start the slideshow (F5),

                                             ii.     ALT+TAB to view Teams,

                                            iii.     In Teams, click the Share screen button,

                                            iv.     click the Share Computer Sound button,

                                              v.     click on Window,

                                            vi.     click on the preview of the desired PPT slideshow window. This starts the screen share and minimizes the camera view window. If you have an external monitor, you may wish to maximize the camera view window, to see the participants, view and participate in the chat, and access other controls. This does not stop the sharing of the shared window.

                                           vii.     When done sharing the window, click on the Stop Sharing button, which is a rectangle with an X in it (located in the upper right corner of the Teams app).

c.     Use Power Point Live which opens the presentation within Teams.

                                               i.     In Teams, click on the Share Screen button,

                                             ii.     In the drop-down menu, scroll down to the Live section and search for the desired Power Point file. Suggestions of recently opened files will be listed, but you can also browse your computer or OneDrive for the file.

                                            iii.     Selecting the file will open it, and provide new buttons in the top Teams toolbar, which are specific to Power Point Live presentations.

1.     Enable Private View (to prevent participants from skipping ahead)

2.     Layout (Content only; or Stand Out, which places your camera feed on top of the lower right corner of the presentation screen).

                                            iv.     Optional: The Pop out button allows your shared content to appear in a separate floating window that can be repositioned and resized, independent of your Teams window.

1.     Since this may include your notes, this Pop out window should be positioned beneath your webcam, so that it appears to the participants that you are making eye contact with them while reading your notes.

2.     Closing the Pop out window does not end the screen share; it simply returns the shared content to the Teams window.

                                              v.     When done sharing the window, click on the Stop Sharing button, which is a rectangle with an X in it (located in the upper left corner of the Teams app).

If sharing a browser window (Chrome, Safari, etc.):

a.     Open the browser page you wish to share, 

b.     (If you are using the Teams App), ALT+TAB to Teams, or

c.     (If you are using Teams in Chrome), click on Tab where Teams appears,

d.     In Teams, click the Share screen button,

e.     click the share computer sound button at the top (only if there is sound you wish to share, such as in a YouTube video),

f.      (If you are using the Teams App), click on Window, or

g.     (If you are using Teams in Chrome), click on Tab,

h.     select the thumbnail of the desired browser Window or Tab. This starts the screen share and minimizes the camera views.

i.   When done sharing the window, click on the Stop Sharing button, which is a rectangle with an X in it (located in the upper right corner of the Teams app).
