Managing Voicemail in Teams
Overview
Every phone account will have a voicemail account. This article will explain how to set up greetings and manage the voicemail box assigned. This will apply to the desktop/web account, as well as the desktop phone.
Steps for setting up voicemail greetings
Go to Calls>Settings then scroll down to Manage voicemail. The options that are available are to Record a Greeting, or to set up Text-To-Speech Greeting.
Advanced Settings are available to choose what happens when the call is redirected to voicemail. The options are as follows:
· Let the caller record a message
· Let the caller record a message or to be transferred to someone else
· Play the greeting and then end the call
· Play the greeting and forward to someone else
· End the call without playing the greeting
The last option that is available is to Manage out-of-office voicemail. The option at hand is when should the greeting play; All the time or When Outlook automatic replies are on. The last part of this option is to customize the Out-of-Office Greeting.
Steps to Check Voicemail
Desktop/Web: Select Calls > Voicemail. Click on a message to play it, view the transcript, or return the call.
Mobile App: Tap the Calls icon, then select the Voicemail tab at the top right.
Important Information:
Transcripts: Teams typically provide a text transcription of the message if the audio is clear.
Email Integration: You will receive an email in your inbox with the voicemail recording attached.
Deletion: Deleting a voicemail in Teams or your email will remove it from both locations.
If you cannot see the voicemail tab, it may be disabled please contact the network administrator through a support ticket.
