Standard Issue Employee Computer Equipment

Overview

Employees eligible to receive a new laptop or desktop computer will be given standard issue equipment. Any employee who wants to request equipment above the standard issue will need to have approval from their departmental supervisor and have the difference in cost between a standard issue and the requested equipment charged to their department. IT will only cover the cost of Standard Issue Equipment.

Warning:

Our lead times on orders will occasionally stretch into 2-3 months or longer depending on the item ordered. Because of this, IT keeps an inventory of new standard devices on hand, but supplies are limited.
 

Windows Computers

By default, Windows based computers are the standard issued device. However, there are exceptions made where there is a legitimate business case for a MacOS based device. 

Note:
Windows devices being the default standard comes down to a few factors: cost, repairability, and maintainability. Where possible, we utilize devices that have lower cost, higher repairability and maintainability to be good stewards of university funds.

Beginning in 2020, IT has begun work towards transitioning all full-time employee's to laptops instead of desktops. However, there are some roles and locations where a desktop is preferred (such as shared workstations, computer labs etc.).

IT Managed Asset Lifecycles

What is the current lifecycle (years an asset is used) before a device is replaced?

  • For full time employee laptops, the current lifecycle is 5 years.

Can a device be replaced early?

  • If a device shows hardware related issues and is within ~1 year of being eligible for replacement the device may be replaced early if:
  • If a device has software related issues, we will work to resolve those issues or re-image the device with a fresh and updated installation of software and OS
    Tip:
    If your device has issues be sure to report it! Often times if a machine is near its replacement cycle we'll replace it with new ASAP. Our goal is to ensure that everyone has reliable and efficient workstations, but we need your help to do that. By reporting problems when you see them we can succeed in our goal and help you succeed in yours.

What if I need something besides standard issue?

  • Start by submitting a purchase request here and detail what job requirements and software requirements (specifics are very helpful) require the non-standard device.
